From 30th May 2022 Google requires all accounts to use 2-step verification (also known as 2FA) and generate an app password, in order to send mail through some applications, such as EQ.
If you are using version 17.4 or newer of EQ then you can use 'Sign in with Google' for the best experience. Set this up in System Config Email.
If you are using a version of EQ older than 17.3 you can follow the instructions below if your EQ system is currently using a Google SMTP server setting with your username and password saved. Your Gmail account will still be able to work in EQ but it will use a newly generated app password, instead of your known Google password.

Follow these steps if you have not previously enabled 2-step verification on your Google account. If you already have this enabled, you can skip to step 2, Generate an app password for Gmail.
- Sign in to your Google Account or Gmail at www.google.co.uk
- Click your account image at the top right (either your initials or a photo) then select Manage your Google Account.
- From the left side, select Security:
- Scroll down to the heading Signing in to Google and click 2-Step Verification:
- Click Get Started and follow the prompts on the Google site to add a phone number, use a security key, or setup a Google prompt on your phone (via an app).
When your selected method has been authorised, 2-step verification will be turned on.
Whilst on this page you can optionally print backup codes, setup prompts or get the authenticator app. - Click the Back arrow on the resulting web page:
- You will now see that 2-step verification is on. Proceed to the steps below.
Generate an app password for Gmail
You should follow these steps to generate an app password if you already have Google 2-step verification turned on, or you have just followed the steps above to enabled it.
- Following from the steps above, on the Google Account page under Singing in to Google, click on App passwords:

Login to your Google account. Click the account picture at the top right (your initials or photo) and select Manage your Google account. Then pick Security on the left and scroll down to the section Signing in to Google and click on App passwords: - Enter your Google password to proceed.
- On this screen you may see any existing app passwords or it may show no existing app passwords. Click the Select app option and pick Mail:
- Click Select device and pick Other (custom name). Enter the name EQ email. (This will help you identify the password's use in the future).
- A new 16 digit app password will be generated and displayed. Highlight this, right-click and select Copy. Then click Done.
Your app password is not generated and displayed in this list. You can now log out of your Google account. You may wish to store your app password in a secure password manager of your choice.
Enter your app password into your EQ email settings
When you have the app password on your clipboard you need to paste it into your email settings within EQ. There are 2 places you could do this within EQ, depending on if your whole EQ system uses 1 email account or if you have multiple users of EQ and they each send email using their own email addresses.
Using 1 email account in EQ System Config
- Open EQ and log in as an administrator user.
- Click the System Config button on the top toolbar:
- Click Email on the left hand side.
- In the middle of the screen highlight the existing saved password (shown as *****) and press Delete on your keyboard:
- Press Ctrl + V on the keyboard to paste your copied app password (from the steps above) into EQ.
- Click Update at the bottom to save and close the settings.
- Close down EQ and re-open it. Your email settings have now been changed and can be used in EQ.
Using multiple email accounts in EQ Users List
- Open EQ and log in as an administrator user.
- Click on the arrow under System Config > click Users.
- Click a username to select it and then click Additional Info on the right.
- On the new window that opens, click the tab Email/Text to show these settings:
- In the middle of the screen highlight the current password (shown as ******) and press Delete on your keyboard.
- Press Ctrl + V on the keyboard to paste your copied app password (from the steps above) into EQ.
- Click Update at the bottom to save and close the settings for this user.
- Repeat these steps 1 to 7 for every EQ user who has their email account saved against their EQ username.
- Click Update on the list of users to save and update.
- Close down EQ and re-open it. Your email settings have now been changed and can be used in EQ.
