These instructions allow you to setup EQ to send email with an email provider who uses an SMTP server connection. You will need to know your provider's username, password and server settings to enter into EQ. You can usually find these on your email provider's website by searching for "SMTP"
These email providers have their own account authorisation instructions:
- Email setup for Microsoft accounts (including 365, Hotmail, Outlook, Live)
- Setup email for Google Gmail accounts
Setup EQ with 1 email account for all users (Global)
To open the email settings you need to be logged into EQ with a user who can access System Config.
- Click: System Config (main toolbar) > System > Email
This window opens:
- Select the check box: Via Standard SMTP Provider
- Tick the box Email Purchase Orders to enable the option to email purchase orders to suppliers. Orders are sent to the email address that is specified on the supplier record general tab.
- You now need to enter the following information according to your email provider's settings:
Email Address | Enter your email address, this appears as the "From" address when the supplier receives your message. |
ccEmail Address |
Enter an email address in here if you want to receive a copy of the email. This can be your email address again or another department's address. |
User Name | This must be the username for your email service provider (and is sometimes the same as your email address). You can probably find this in your normal email program or from your service provider. Note that you can setup EQ with 1 email account per EQ user, if you prefer multiple users to send email via their own addresses (instead of just the one address). See the article on Users > Additional Info for steps. |
Password | This is the password for your email server. If you do not know this obtain the password from your email service provider. |
Outgoing mail (SMTP) | Enter your outgoing mail server. E.g. this could be mail.providername.com. |
Port |
Enter the port that is required by your outgoing mail server. Standard ports used by providers are 25 or 587. |
Requires SSL Authentication |
Tick this if you have been advised that it is required by your e-mail server. It is relevant to how you logon to your email server. Google Mail requires SSL to be ticked. |
Authentication type | Select the authentication type your mail server requires. If you are unsure start by using "Plain". |
If the sample e-mail fails double check your e-mail name, server and port. If you use your e-mail account in another program you may be able to copy settings from there.
You may need to check if your e-mail provider require you to enable access for third party programs (like EQ) to use the mail server.
Setup EQ with each user's email address (Per user)
In addition of setting 1 email address for all of your EQ emails (in the above section), you can also set an email address for each user. Emails sent by the users will then use their own email address as the “From” address (meaning replies will go back to them).
- Click the arrow by System Config > select Users
- Click the name of a user you want to setup, so that it becomes highlighted

Click the Additional Info button on the right-hand side

Click the Email/Text tab at the top
- Tick the box Use These User Settings.
This overrides any email settings you have in System Config. - Tick the box Via Standard SMTP Provider

Complete the email user and server settings, as per the table below.

Click Update to save and close the window.
- Close EQ completely and re-open it so that your changes take effect.
