Once you have saved a quote or sales order you can retrieve it to open it, or interact with it using the right-click menu.
When you right-click on a Quote/Order Ref (from either Customer List or Project List) you are presented with this menu:
Open |
Will open the quote/order main screen to view all the products. Either use the progress toolbar to work on the order or click Edit to continue to make changes to the products. See Editing Quotations. |
Notes |
Enter free type notes to store information relating to this quote/order. There will be a paperclip icon shown next to your order ref. |
New Communication | Creates a new communication entry, for the selected order. See New Communication. |
New Email | Creates a new email for the selected order. This will be saved against your customer. See Send Email. |
New Text (SMS) | Creates a new text message for the selected order. This will be saved against your customer. You need to purchase credits for sending SMS messages. See Send a text message. |
Accept Quote Order Details |
Click to turn a quotation into a sales order. Once accepted the menu will show Order Details instead. This screen allows you to set key dates, milestones and payment details: |
Print... |
Shows a sub-menu to print, preview, PDF or email these documents: |
Create... |

Generate Purchase Orders | Opens the purchase order screen showing all supplier products not yet placed on purchase order. See placing purchase orders. |
Delivery Note | Allows you to raise 1 or more delivery notes for products not yet delivered. See delivery notes. |

Costings |
Opens the costings screen for the selected order so you can view and modify cost price, sales price, profit £, margin % and discounts. See Costings Screen. |
Flags... | Set a flag for the selected order. Flags names can be customised so they can be used for many purposes. Flags can be filtered on the sales orders screen so you can manage orders that you need to follow-up. |
Order Status |
Allows you to view, set or change the order status on the current order. See Order Statuses. Order statuses can be customised and you can filter on order status in the Projects > Sales screen. |
Workflow Tasks | Only available with the additional Workflow module. |
Progress Notes | Shows a full audit of all actions with the selected quote/order. You can view date/time and username for each action. |

Commission Calculation: A quick commission calculator (independent of the commission profiles setup). Image Bank: Allows you to add multiple images to an order that could be used in Production: Only for the production module. Reset Order: Removes the quote accepted date and reverts this sales order back to a quotation. Relevant diary bookings are also reset. Export Quotation/Order [EQ]: Export this quote/order as an EQQ file which can be sent to another EQ system and imported. Useful for moving to another one of your EQ systems if they are offline. Export Quotation/Order [CSV]: Export this quote/order to a CSV file which can be viewed and edited in a spreadsheet application. Lock Quotation/Order: A locked order cannot be edited until it is unlocked. Use this to prevent unauthorised editing or proceeding with the order. This setting can be restricted in User Group settings, for example so a manager can lock/unlock but not other users. |
