Print and Alter Layout

The Print button on the main quote toolbar (when in progress mode) prints the quotation and other documents. The quote has to be saved to see and use the Print button shown at the bottom of the quote/order:

The print out is the same regardless of whether the quote is at quote stage or sales order stage.
This article covers:

 

Printing the Quote

 

  1. Click the main Print icon mceclip0.png and this window opens:

  2. Click Print to go straight to the printer selection and/or view a preview of what the printed page will look like.

  3. Click Alter Layout to change the print layout of the current quotation.
    Place a tick in the box Alter Default Quotation Layout so that you can change options within Alter Layout.

Printing other quote/order documents

Click the down_arrow drop down arrow next to Print to print other documents:

  • Quotation - Prints the main quotation and allows you to change layout settings
  • Acknowledgement - Similar to quotation but can include signature lines and terms and conditions etc
  • Product Images - Select from a list of products to print their images and specification sheets
  • Item Labels - Print item labels for each product
    (For label printing: Zebra GK-420d with label size approx 8.8cm wide x 5cm tall
    Other label sizes can be catered for by having a bespoke label template created. Email templates.eq@compusoftgroup.com)
  • Fitters Item List - Paperwork for the fitter, listing all products to be fitted.
  • Fitters Summary - Paperwork for the fitter, an overview of fitting required (not product-specific like the Fitters Item List).
  • Factory Order - Document that lists all products and their dimensions.
  • Print All -  Print all documents in the list

 

Alter Layout - Options

To show these options, go to Print a quote/order and click Alter Layout:

When this window opens you need to tick Alter Default Quotation Layout to make changes from the defaults. Changes made here apply only to this selected quote/order. To make permanent default layout changes you need to go to System Config > Quotation Layout.

Image Options

Select whether or not to show the brochure image of the furniture range or the CAD image (if imported from CAD) or no image at all.

 

Additional Options

  • Show Item Number - Tick to show the item number by each product, the same as shown on the quote screen.

  • Don't Show Sub-items - Tick to hide the sub-items from the print out, e.g. doors, accessories. The values will still be included in the grand total but the products will not show.

  • Show Prices Including VAT - Tick to show VAT inclusive prices instead of showing the VAT % and amount at the bottom line.
  • Remove Product Codes - Tick to hide the product codes column on the quotation. The description column will start further to the left.

  • Override Default Product Group Settings - Tick to override the main product group settings (as per the setting in System Config >Quotation Layout)

  • Header - You can enter a larger size (in mm) of the header area. This is useful in cases where you print on headed paper and need to allow a larger gap at the top.

 

Product Grouping

Click this tab to show all product groups that appear on the quote. Changing these options does not affect the defaults and only applies to the current quote. This is a cut-down version of the product grouping in system configuration.

 

Select how to display prices under the Quotation Pricing column:

  • No Prices does not show any prices on the quote other than the bottom line totals
  • All Prices shows a price next to every product.
  • Sub-total shows one sub-total for a group of products.
  • Group Products shows a line reading “Total Furniture Cost” either priced or unpriced.

 

Discounts can be set in the same way:

  • Total Discount shows only the total discount at the bottom line of the quote.
  • All Discounts shows the discount % next to each product
  • All Discounts + Sub-total shows the % next to each product and a sub-total of the discount for each group.
  • Sub-total displays only a sub-total of the discounts for each product group.

 

Double click on the word Memo to add default notes to a group. These appear under the heading on a printed quote.

 

Change Quotation Product Grouping

Click the button to open a grid where you can change the group that a product is listed under. For example, you can assign an accessory to show under the furniture heading.

 

Fitting Options

Click an option to choose between:

  • Show fitting "Group" totals - Shows the group (as set in Fitting Configuration) and the total cost of fitting for that group.
  • Show individual fitting items - Shows a cost for each item (as set in Fitting Configuration).

 

Combine fitting items within the same "Group" - Tick this box if you have more than 1 fitting code on a quote to combine items so they appear under the same "group".

 

Finance Options

This option is only shown if you have enabled the finance options in System Config.

 

Once you have made changes click Update to save and close the window, then continue to click Print and/or Print Preview.

 

Preview Quotation - Shows the preview immediately without showing layout settings
