When you print a customer quotation you can change layout options. You can change how much product information is shown, show/hide product images, group prices or show individual prices. There are 3 levels where you can alter the print layout of documents –

1. Default System Config settings
- Go to System Config on the top toolbar:
- Under the Documents category there are layout options for the printed documents:

You can change the below options.
Changes here impact all documents in your EQ system unless you have overridden them with a Customer Type default, or change them for an individual quote/order as your print it.
Document Titles
Under Document Titles you can change the titles of all documents e.g. Estimate instead of Quotation.
General Layout
Under General Layout you can turn the company logo on or off. If ticked this will place an image at the top of the printed page rather than using the name and address you have set.
To use your own logo you need to edit the userlogo.bmp file in C:\Program Files (x86)\Easyquote4. Keep the size set to 720 pixels wide by 124 pixels high.

Quotation or Acknowledgement Layout
In Quotation Layout and Acknowledgement Layout there are tick box options for combining sub-items, removing the product codes and customising fitting.
Use the Additional Layout Options button to turn on the signature line or add default notes to appear at the bottom of the documents.
With the Quotation Group Settings button (below) you can change how prices and discounts are shown on the printouts:
- All Prices shows a price next to every product.
- Sub-total shows one sub-total for a group of products.
- Group Products shows a line reading “Total Furniture Cost” either priced or unpriced.
You can also change the order of printing with the Print Sequence button.
Ensure you click Update to save and close each window.
2. Customer Type settings
As well as setting a default quote layout you can change settings for a particular customer type.
- Go to the Customer List from the top toolbar:
- Click the General tab,
- Click the Edit Popup Contents icon by customer type:
These settings will display (with your own customer types in the list):
Settings you change here override the default system wide settings.
You can change document titles here and click the tick (Layout) to change the default notes or enable the signature line.
Remember these settings only apply to a customer with the current customer type. You can change each customer type. Customers with no type set will use the defaults as set in System Config (above).
3. Individual Quotes/Orders
The settings above are defaults, but you can change these on individual quotes. Changing a setting here only changes for the one quote/order you are in.
Layout Options tab
- Refer to Print a quote or sales order.
- Click Alter Layout to open this screen:
- Tick the top box Alter Default Quotation Layout to enable the settings in this screen.
Use the tick boxes for these settings:
Show Item Number - Tick to show the item number by each product, the same as shown on the quote screen.
Don't Show Sub-items - Tick to hide the sub-items from the print out, e.g. doors, accessories. The values will still be included in the grand total but the products will not show.
Show Prices Including VAT - Tick to show VAT inclusive prices instead of showing the VAT % and amount at the bottom line.
Remove Product Codes - Tick to hide the product codes column on the quotation. The description column will start further to the left.
Header - You can enter a larger size (in mm) of the header area. This is useful in cases where you print on headed paper and need to allow a larger gap at the top.
Override Default Product Group Settings - This changes to the opposite that is set in System Config (and displays what Config is currently set in light grey text to the right.
Product Grouping tab
Click the Product Grouping tab to show the grid of product groups where you can change how the pricing and the discounts print out. This is a cut-down version of the product grouping in system configuration.
- Use the drop down boxes to change how pricing or discounts show for each Group:
Click this tab to show all product groups that appear on the quote. Changing these options does not affect the defaults and only applies to the current quote.
Select how to display prices under the Quotation Pricing column:
No Prices does not show any prices on the quote other than the bottom line totals
All Prices shows a price next to every product.
Sub-total shows one sub-total for a group of products.
Group Products shows a line reading “Total Furniture Cost” either priced or unpriced.
Discounts can be set in the same way:
Total Discount shows only the total discount at the bottom line of the quote.
All Discounts shows the discount % next to each product
All Discounts + Sub-total shows the % next to each product and a sub-total of the discount for each group.
Sub-total displays only a sub-total of the discounts for each product group.
Double click on the word Memo to add default notes to a group. These appear under the heading on a printed quote.
Click Change Quotation Product Grouping beneath it to edit the names of the groups for each product; these show as sub headings on the print out.
On the Fitting Options tab you can change the way fitting is displayed.
Click Update to save changes and continue to print or view a print preview.
Fitting Options tab
Click an option to choose between:
- Show fitting "Group" totals - Shows the group (as set in Fitting Configuration) and the total cost of fitting for that group.
- Show individual fitting items - Shows a cost for each item (as set in Fitting Configuration).
- Combine fitting items within the same "Group" - Tick this box if you have more than 1 fitting code on a quote to combine items so they appear under the same "group".
Finance Options tab
This option is only shown if you have enabled the finance options in system configuration.
Once you have made changes click Update to save and close the window, then continue to click Print and/or Print Preview.
