EQ uses Quotation Groups on the quote/order screen to determine sub-headings on the printed quote and acknowledgement. Quotation Groups can be to colour-code the products on your quote/order screen to help quickly recognise the types of products you have. The name is shown in the Groups column on the left.
You can configure whether to show Quotation Groups on screen, and on your printed documents in System Config > Quotation Layout.
This is an example of a quote screen showing colour-coded Quotation Groups:
If furniture catalogues include non-furniture products you may want to change the default behaviour to avoid all products appearing in the "Furniture" group. See the article: Stop non-furniture products showing as Furniture (Quotation Groups as sub-headings)
This article covers:
- Show/hide and edit Quotation Groups on screen
- Show/hide Quotation Groups (sub-headings) on printed documents
Show/hide and edit Quotation Group on screen
When you are editing a quote/order on screen you will see the product rows are colour-coded. These colours are set by Quotation Groups.
To change the default colours of a Quotation Group go to System Config > Quotation Layout > Product Group Settings.
To be able to see the Quotation Group and/or change the group, follow these steps:
- Have a quote/order open in Edit mode.
- Go to the Current_Quotation menu on the top menubar:
- Select Product Groups > Show Product Groups & Edit
- A column named Groups will show on the left.
You can overtype the name of these groups to change them, for this quote/order only. For example, instead of product categories you could decide to use Groups to name rooms in your quote, such as Main Bathroom, Ensuite etc.
If you select Product Groups & Use Own Grouping this changes Groups into a drop-down selection list. You should use this after you have already setup your list of Own Groups in System Config > Quotation Layout.
Show/hide Quotation Groups on printed documents
The Quotation Groups on screen become sub-headings that group products together on the printed quote and order acknowledgement, like this:
Global Change in System Config
The setting to show or hide the sub-headings is located in System Config > Quotation Layout or Acknowledgement Layout
Tick the box Remove product groups and the sub-headings will not print:
Change on individual quote/orders
- Save your quote/order
- Click Print then Alter Layout
- Tick the box to Alter default quotation layout to enable the options below.
- The last tick box Override Default Product Groups Setting will change the setting that is default. In light grey text EQ shows the current default setting: Print Groups (in the screen below), so ticking the option will hide the groups.
Change default groups for types and categories of products
If there are permanent changes you want to make so that certain types of products appear in different quotation groups, you can do this in System Config. This will apply to products in all catalogues.
- In System Config (main toolbar) click the Documents > General Layout option
- Click the Product Grouping button to open the window shown below at step 3.
- Scroll through the list which is sorted Z - Z by type and category.
(Products are added into every catalogue using the same list of types and categories).
Change the Quotation Group from the drop down menu for as many items as you wish.
- Click Update to save and close.
The changes will apply for the next products you add to a new or existing quote/order.
