The Schedule view is designed to give you an easy overview of scheduled deliveries (inbound from a supplier and outbound deliveries to a customer).
New creates a new appointment manually. Other appointments appear in the schedule, which are created automatically when you use the Accept Quote screen.
Click Appointments Diary > Schedule and New from the top toolbar.
This opens the Schedule:
- Click New
This begins a new appointment at the selected date and time: - Date, time and duration show across the top. Edit these as needed.
- Action - Select from the drop down list of actions. (You can add your own).
- Resource - Select from the drop down list of resources. (You can add your own).
- Enter a subject by typing into the box.
- Select a customer from the drop down box.
If a customer is not in this list, add a new customer first. - Select an order reference from the drop down box (if the customer has any saved quotes/orders)
- Enter comments by typing into the box.
Automatic Appointment Colour
Tick the box to use the colour as set for the action and resource, otherwise remove the tick and assign a colour just for this appointment.
Private Appointment
Tick the box so this appointment only shows on your schedule; no other users will see it.
Lock Appointment
Tick to place a lock which will prevent any alterations being made once the appointment is created.
Set Reminder
Tick to ring an alarm. This shows 2 further drop down boxes:
- Select when to ring the alarm (e.g. X hours before the event takes place)
- Select the username where the alarm will display.
Click Update to save and close the window. You will now see your appointment display on the schedule screen. If it does not appear it could be because your schedule is not displaying that type of appointment. See how to customise the schedule.
