You can setup a username and password for each person who uses EQ and assign them to a user group. A user group can then have different security levels (e.g. a salesperson's username does not need access to invoicing parts of the program). Use this screen to add a user or change their password.
If using a multiuser system on a network each user must have their own password otherwise you will not be able to login on more than 1 PC. You can set as many users as you need; you are not restricted to the number of licences or PCs.
Adding a New User
Follow these steps to add a new user to give them a new password to use EQ.
-
Click System Config > Users
- Click the Add button to add a new line.
- Type a username (will be displayed when the user is logged in, and will be used in progress notes) and enter a password for the user. Users are identified by their password so they must have one set, even if it is their name.
- With the user still highlighted, click the User Groups button on the right.
This shows a new screen with all existing user groups. - Click a group on the left and click Add -> to assign the group to this user.
User Groups are groups of permissions that will dictate what a user can and cannot action inside EQ. For example you could create manager overrides for giving more discount options, which standard users cannot access.
For more information on how to add and manage them, read the article User Groups. - Your user is now created. You can click Update immediately, or check across the following columns for any settings that are relevant to this user:
Administrator column
One username will be marked as the administrator with a tick in this column. Only one username can be an administrator. This user has access to load and remove catalogues. To change the administrator click another username and click the Administrator button.
Logged In column
Shows a tick when the user is logged in to EQ. If you have checked they are no longer using EQ you can click their name, then click Reset and respond Yes. This forces EQ to recognise the other is logged out.
Order Prefix column
Complete the prefix only if you want unique sales order numbers for each member of staff. E.g. prefix by branch or by user's initials.
Now users have been created see User Groups to assign access.
Reset User
Click a user to highlight them, and click Reset User to force reset them. Can be used when a user has not closed the software correctly and it is not actually running.
Note resetting a user when their software is still physically open, will not have any effect. The user should close EQ correctly using File > Exit or the X button.
Reset All Users
Click to reset all usernames that currently show a tick as being logged in, when they have not closed the software correctly and it is not actually running.
